S&S / THE SHOP MANAGER'S GUIDEBack to the goods

GOOD GOODS. GOOD FOLLOW-THROUGH.

A good shop,
well run.

Get the details right before the first order.
Keep them right after the first hundred.

A WORKING GUIDE SEPTEMBER 13, 2026
01

SET THE TABLE

Give every system a job.

Assign a named owner and backup for the shop, merchandise, integrations and finance. One person can wear a few hats. Every issue still needs an owner.

PRINTFUL

The right shop, every time.

Readback verified 10 products and 35 variants in the dedicated S&S store. All remain ignored and unapproved for sale. Every referenced artwork file processed successfully; final placements, costs and samples still need approval.

PAYMENTS & RECORDS

Keep the receipts.

The dedicated scissors-scotch-shop-orders database has six application tables with verified shop identity. Temporary setup access is closed. The exact S&S Stripe account passed its restricted-key check on September 13. The restricted key is saved in Production. Subsequent deployments applied the saved key; hosted identity and permission verification and webhook delivery remain. Checkout stays disabled.

PEOPLE & POLICIES

Be easy to reach.

Assign support and refund owners. Approve shipping, cancellation and return terms. Verify transactional messages reach the client before accepting real orders.

DOMAIN & RELEASE

A ready address needs a ready shop.

The standalone catalog is live at scissorsscotch.shop. HTTPS and the www redirect passed checks. The website address is ready; customer checkout remains disabled until commerce acceptance.

02

SPRING → PRINTFUL

One product. All the details.

Finish one product, color, size and print configuration completely. Then repeat. Similar names are a starting point, not a verified match.

01 / FIT

Choose the actual blank.

Record model, fabric, fit and measurements. Baby ages, slide sizes and sticker formats need their own decisions.

02 / COLOR

Keep the color honest.

Review the actual Printful color. Show its correct image. Record any approved substitution; never quietly swap a client's selection.

03 / ARTWORK

Print from the master.

Use the approved source file and the correct product template. Check placement, detail, transparency and embroidery. Spring mockup JPGs are not print files.

04 / PRICE

Know what the order earns.

Approve production cost, shipping, tax treatment, payment fees and retail. Spring's price is a reference; unknown costs stay unknown.

05 / PROOF

See the real thing.

Review each color's mockup, provider mapping and current availability. Record a physical sample's fit, finish and accepted version.

A few details worth a second look.

Four corrected Printful views now show larger Black hoodie logos and the complete JAKE artwork on both mug faces. The Circle uses a verified export of the larger supplied master. These are three representative options; blank, size, color, print and cost approvals remain pending. The earlier seven-image baseline covers 27 options and still shows the Lilac color difference. The other 133 source options need reconciliation.

THE DAILY ROUTINE

Give the queue a little attention.

These are manager duties until verified automation takes them on. A clean queue means issues are resolved, not hidden.

Open the protected order desk.

In Operations, choose Orders & tracking, then Check setup status. Use only the S&S operations token supplied privately by the integration owner. The input clears after submission; the token stays only in page memory.

Choose Verify service connections to explicitly read database, Printful and Stripe identities and capabilities. Configured and verified are separate. A successful check does not open checkout or prove webhook delivery.

Read payment, fulfillment and job states separately. No client names, email or addresses appear in this desk. Keep personal details out of reconciliation reasons. Eligible paid, held jobs can be rechecked only with server permission and a recorded reason; the request keeps the existing job and submission guards.

Choose Close desk when finished to clear the token and order view. The local simulation uses its own token and synthetic orders.

Open Operations ↗
OPENING

Check the handoff.

  • Confirm the correct shop and environment.
  • Match paid orders with supplier submissions.
  • Review holds, failed jobs and stale availability.
  • Assign each exception an owner and next update.
THROUGH THE DAY

Keep things moving.

  • Review address and cancellation requests promptly.
  • Check split shipments and missing tracking.
  • Retry the existing job after checking its state.
  • Tell clients what is actually happening.
CLOSING

Leave a clear picture.

  • Reconcile payments, orders and supplier references.
  • Separate refunds, tests and reshipments.
  • Check delivery of promised client updates.
  • Hand off open issues with a named next owner.

Weekly: review margins, supplier changes, unresolved mappings, samples, refund outcomes, credential expiry and restore evidence.

04

FROM BAG TO FRONT DOOR

Follow the whole order.

The target live flow keeps payment, production and delivery distinct. Backend checks have passed; real checkout and fulfillment remain disabled.

  1. 1

    Check and quote

The server validates the exact product, price, availability and destination.

  2. 2

    Verify payment

A verified paid event creates one saved order and fulfillment job. A success page alone is not payment proof.

  3. 3

    Submit the right goods

The worker checks S&S store, variants and approved artwork. A stable reference protects against duplicate orders.

  4. 4

    Track every parcel

Supplier events update the affected items and shipment details. One order can arrive in more than one box.

  5. 5

    Close the loop

Clients receive the actual status. Holds, delays and failed messages remain visible until someone resolves them.

05

WHEN SOMETHING NEEDS A HAND

Fix it once. Record it well.

Payment succeeded. The supplier order is missing.

Find the payment, saved order and existing job. Search Printful for its stable order reference before retrying. A timeout can mean the supplier accepted the order but the reply was lost.

Owner: Integration operator. Done means: one matching supplier order, or a documented refund outcome.

A file, mapping or stock issue puts an order on hold.

Read the provider's actual reason. The design owner resolves print-file issues; the merchandise owner resolves fit, color and blank choices. Hold the affected item and ask the client about any meaningful substitution.

Done means: approved correction and retrieved provider acceptance, or a completed refund path.

The client wants to change or cancel an order.

Check production state promptly. Printful editing and cancellation options narrow after fulfillment starts. Stop a queued submission where appropriate and record the provider's result.

Canceling in Printful does not refund the client. Finance handles the customer payment separately and records both outcomes.

Current Printful change/cancel rules ↗
A refund, return or quality claim needs follow-through.

Confirm the item, payment, approved amount and current state. For quality issues, collect clear photos and submit the provider claim promptly. Track supplier credit separately from the client's refund.

Do not promise a completed refund while it is pending, or a supplier-funded replacement before the claim is accepted.

Stripe refund procedure ↗
Tracking or a client message has gone quiet.

Review each parcel and its carrier update. Reconcile missing shipment events, then send the accurate update. If only a message failed, retry the message rather than recreating the order.

Done means: a correct shipment record and a delivered update, or a named owner with a next update time.

06

THE NEXT GOOD IDEA

Give it a paper trail.

Start with the downloadable intake in the operations desk. Keep the design ID, original file and hash, exact print text, rights and approval together.

Choose the real merchandise, technique, placement, colors and sizes. Generate versioned derivatives, review the mockups and sample, approve retail, then release the accepted catalog version.

BEFORE THE FIRST REAL SALE

Make it official.

Record acceptance against the actual release and product versions. A ready website is one milestone. A ready purchasing flow earns the next one.

  • Exact provider mappings, approved print files and accurate color images.
  • Accepted physical samples, product claims, prices and delivery policies.
  • Verified S&S account routing, payment flow, database, worker and notifications.
  • Passed duplicate, timeout, delayed-payment, stock-loss and refund scenarios.
  • Named support owners, protected tracking and usable operations access.
  • Verified deployment, domain, HTTPS, redirects and rollback record.
  • One authorized end-to-end order with a single payment and fulfillment chain.
